WWW.ONBOARD.AMSTERDAM is owned and operated by Appical B.V. This privacy policy describes how Appical handles your personal information. By using OnboardAmsterdam (the “Site”) you consent to the storage, processing, transfer, and disclosure of your personal information as described in this privacy policy. This policy is effective as of August 22, 2016. The opinions expressed by the Onboard.Amsterdam contributors and those providing comments are theirs alone and do not reflect the opinions of Onboard.Amsterdam or Appical or any employee thereof. Onboard.Amsterdam or Appical is not responsible for the accuracy of any of the information supplied by the contributors.

1. General

Appical values the protection of your personal information. Therefore we carefully handle the processing of personal information of our users. Appical processes personal data only on behalf of the employer. Appical advises you to read this privacy policy carefully and if you have any questions or comments please feel free to contact us at support@appical.net.

2. What is Personal Information?

Personal information is data that is directly or indirectly traceable to a person. Examples of personal data are: name, address, date of birth, telephone number, location data, email address or an IP address.

3. Why does Appical/Onboard.Amsterdam process Personal Information?

Appical processes Personal Information with the aim of providing its services and allowing these services to function as good as possible, to improve the functioning of its services and to generate statistics. The data is shared with the employer.

In addition, data is processed for security purposes and to be able to communicate efficiently with users of its services.

4. Based on what grounds does Appical/Onboard.Amsterdam process personal data?

Except that Appical processes personal data with your explicit consent, it does so because it is necessary for the functioning of its services on the basis of the agreement with its customers (your employer), and on the grounds of its legitimate interest in the fulfillment of its business processes.

In order to be able to use the services of Appical (such as: prehiring, preboarding, onboarding, continuous learning and offboarding) it is therefore necessary that you provide personal information such as; first name, last name, email. Without this personal data, Appical is not be able to perform its services (completely) properly.

BY BUYING A TICKET FOR ONBOARD.AMSTERDAM YOU INDICATE THAT YOU WANT TO RECEIVE THE TICKET AND OTHER INTERESTING NEWS FROM ONBOARD.AMSTERDAM AND OUR PARTNERS VIA E-MAIL. IF YOU DO NOT WANT THIS YOU CAN UNSUBSCRIBE AT ANY TIME VIA THE ‘UNSUBSCRIBE LINK’ AT THE BOTTOM OF EACH E-MAIL.

5.   What kind of (categories) Personal Information does Appical process?

Appical/Onboard.Amsterdam processes the following personal information:

First name, Last name, Email, Skype ID, Linkedin ID, Job title & department, phone number, profile picture, used devices, IP Address.

Please note that only your First name, Last name & Email are required to create an account. Additional data is entered by Employer or by You.

6. Sharing Personal Information with third parties and (categories of) recipients

Appical only shares personal information with third parties if this is necessary for its services, when there is a legal obligation, or when Appical is specifically requested by the customer (the employer).

Appical does not pass on personal data to third parties other than; Digital Ocean, Intercom, Mandrill and Sentry. Sub-processors that comply with the EU-U.S. Privacy Shield might process data outside the EEC.

7. How long does Appical/Onboard.Amsterdam store Personal Information?

Appical does not store Personal Information any longer than necessary. Specifically, this means that the Personal Information is removed from our system 18 months after a user is deactivated (access to Appical is canceled) by the employer.

8. Right to withdraw consent, access, rectification and erasure of Personal Information

At all times, you are entitled to revoke your consent with regard to the processing of personal information by Appical/Onboard.Amsterdam, the right to inspect and correct the processed Personal Information, and the erasure and transfer of the Personal Information processed / stored by Appical. You can also submit a complaint about the processing of Personal Information to the Dutch Data Protection Authority.

9. Source of Personal Information

Personal information that is not obtained from you directly is obtained from your employer.

10.  Cookies

A cookie is a small file that is stored on your computer or telephone. Appical uses cookies to remember your preferences and to recognize its users on a subsequent visit. Cookies also enable Appical, among other things, to collect information about the use of our services and to improve and adapt these to the wishes of our users.

Onboard.Amsterdam ’18 is organized by Appical B.V.

1. Registration fees

Tickets for Onboard.Amsterdam ’18 are available for purchase until 23:59 on November 28th, 2018. All attendees have to pay the registration fee prior to arrival at the event venue. There will be no tickets for sale at the door of the venue.

2. Cancellation & Refund Policy

If you are not able to attend the event, you have to notify us in writing by sending an email to christophe@appical.nl by November 28th, 2018. For cancellations received after November 28th, 2018 and paid attendees who don’t attend, the registration fee is non-refundable.

If you can’t attend but you know someone who can, you may transfer your registration to another person at any date prior to the event. When transferring your ticket, you have to notify us in writing by sending an email to  christophe@appical.nl, providing the name and contact details of the person you want to assign the ticket to.

Refund and/or transfer requests at  christophe@appical.nlwill be dealt within five (5) business days for a first response.

In the (unlikely) event that we fail to provide the advertised goods and services (e.g., cancellation of Onboard.Amsterdam ’18) we will refund the registration fee excluding processing fees.

3. Age limitations

Attendees must be at least 18 years of age to attend Onboard.Amsterdam ’18 and all related events. If you would like to request an exception to this rule, you have to send your request in writing to  christophe@appical.nl

4. Photography, video and audio recordings

By attending Onboard.Amsterdam ’18, you expressly give your consent to having your image, voice, likeness and/or presentation recorded. You hereby further grant us the right to use the images, videos and/or audio recordings recordings taken at Onboard.Amsterdam ’18 and related events however we might choose to, without giving you notice or any compensation. We might use them in any and all media formats available now or in the future for illustration, art, promotion, advertising, trade or any other purpose and you release us, our affiliates and successors from any liability whatsoever of any nature in regard thereto.

Unless we notify you otherwise, you are permitted to take photos, videos or audio recordings (collectively, “recordings”) at Onboard.Amsterdam ’18, as long as you comply with the following terms:

These recordings might include content or material that is protected by copyrights, trademarks, or other rights which we own or license.

You are allowed to copy, reproduce, publish, or distribute the recordings without our written permission for your individual personal use. We allow and even encourage you to disseminate the recordings through social media, as long as the recordings are in compliance with these terms. Please feel free to connect with us on social media through use of the hashtag: #OnboardAms.

In any other case, for example commercial or editorial use, you need to obtain our permission in writing prior to use.

You agree that you won’t use any recordings: (1) in a way that is misleading or disparaging; (2) in a way that implies that the content of the recordings is your own; (3) for commercial purposes or in a way that implies that we endorse, sponsor or approve of your business, services or products; or (4) in violation of applicable law or in connection with an obscene, indecent, or unlawful topic or material. If we request that you discontinue use of any recordings, you will immediately comply with our request. And of course, if we do notify you that recordings aren’t allowed, then you agree that you won’t take any recordings.

5. Agenda

We might make updates to the agenda from time-to-time, which might include a change in speakers or cancellation of certain sessions. We can’t promise the attendance of any speaker and won’t refund fees paid based on changes to the agenda.

6. Liability

We will not accept liability for damages of any nature sustained by participants or accompanying persons, or resulting from loss of or damage to their personal property, as a result of the conference or related events. In the event of industrial disruption or other unforeseen circumstances, we accept no responsibility for loss of monies incurred by delegates. Our liability is limited to the return of paid registration fees which we may also, at our sole discretion, provide in a voucher which can be redeemed for future events or Appical B.V. products. Participants should make their own arrangements with respect to personal insurance, along with travel insurance.

7. Privacy

Your privacy is important to us, therefore information submitted in the registration process will be subject to our privacy policy, which is incorporated to these terms by reference. Information submitted in the registration process will be used and shared for registration and event marketing purposes. This information includes: name, surname, company name, job title, country and email address. We might use these details to inform registrants of conference updates or future events via email. We might also display companies registered to attend on our website before the event to inform other participants on who’s already attending, or after the event to show who attended. This includes company names and/or logos and job titles but no personal information. If you agree to opt-in to receive an email from Appical & our event partners, they can send you commercial emails.
